CRM Sorted

Your business sorted,
right from your WhatsApp.

You already answer twenty messages a day from your bakkie. CRM Sorted turns them into quotes, jobs and invoices, on the WhatsApp Business number you already give out.

You are not disorganised. You are just running a business out of a chat app.

The quote is in one chat. The address is in another. The photo of the DB board is somewhere between the two, and the customer who asked on Thursday is still waiting for a price.

CRM Sorted is software from AI Sorted (Pty) Ltd, built for electrical, plumbing and security businesses with three to fifteen staff. You connect your own WhatsApp Business number to it. Your customers carry on messaging the same number they always have, and every one of those messages arrives in your own account, next to that customer's record, their quotes, their jobs and their invoices.

Nothing changes for the customer. Everything changes for you.

One message, start to finish.

This is everything that happens between a customer typing and a technician leaving.

Three steps, and no IT person.

01
Connect your own number

You connect your own WhatsApp Business number through Meta's official signup flow. We register it, subscribe it, then read both back and check they are really there before we save anything. The access token renews itself in the background, so nobody has to reconnect it every two months.

02
Your customers carry on as normal

Same number, same chat, nothing to download. They message you the way they always have. The difference is on your side: the message arrives in a shared inbox your whole team can see, already attached to that customer's record, instead of sitting unread on one person's phone.

03
Everything lands in one place

The conversation, the customer, the quote, the job, the invoice and the photos, in your own account. Only the people you have given a login to can open it.

The whole business, not just the messages.

Grouped by what you actually worry about, rather than by what the modules are called.

01
The shared WhatsApp inbox
One number, your whole team
Assign a thread Search Voice notes transcribed Media both ways

Every conversation your business is having, in one place, with an unread count and a search box, instead of scattered across four people's phones. Hand a thread to whoever should be dealing with it and they see the whole history, not just the last message. Photos and documents go both ways and get filed against the customer. Voice notes come in transcribed, in Afrikaans or English.

02
Quotes they approve on their phone
No login, no margin showing

A quote has a header, options and lines. You send a link. The customer opens it without logging in, picks the option they want, approves or declines, and can leave a comment saying why. They never see your cost or your margin.

Revise a quote and it becomes a new version rather than quietly overwriting the old one, so you can still see what you first offered.

03
Jobs, and proof of what happened
Signed on site, on the technician's phone

Work orders, assigned technicians, statuses that move. Turn an approved quote into a job in one step. The customer signs the job sheet on the technician's phone.

Where a job needs a compliance checklist, attach the template. The job cannot be closed until the checklist is actually complete.

04
Invoices, then straight into the books
Sage, Xero and Zoho Books

Invoice from a quote, from a job, or as a deposit and a balance. Sent from your own mailbox with your own template, and then pushed into your accounting package.

05
Where the money went
Five reports, including job costing

Job costing puts quoted, invoiced, cost and hours side by side and works out the margin. Then on-time completion, hours per client, and sales with outstanding invoices.

The fifth one is an upsell search. It reads the file and photo names on old jobs, so "8kW inverter installed here" surfaces as a return visit worth making.

06
Time, without timesheets
Mostly filled in by the "on site" text

Live timers, entries added after the fact, a timesheet view, totals per project and CSV export when your bookkeeper wants it in a spreadsheet.

07
The rest of the office
The parts nobody advertises but everybody needs

Contacts and companies with tags, custom fields and CSV import. A sales pipeline with deals you drag between stages. A priced catalogue with suppliers, stock levels and movement history. Projects, tasks, dependencies and comments. An internal wiki with full revision history you can restore from. Files attached to any record. Users, roles and permissions.

08
An answer at nine at night, instead of silence
It only ever replies. It never messages first.

When a customer messages your number, the assistant answers them using the business details and the answers you have configured. So the person who messages at nine at night gets an answer instead of silence. It can record a booking request, which means the enquiry is still there in the morning instead of being lost.

When it cannot help, it hands the conversation to a person. Your staff see every conversation in the shared inbox and can take over at any time. It only ever replies to someone who has messaged you first. CRM Sorted never starts a conversation with your customer.

09
An assistant that uses the same controls you do
Optional, and you bring your own key

When the assistant creates a task, that task goes through the same validation, permission checks, audit log and notifications as if you had clicked the button yourself. Most bolt-on AI writes straight to the database behind the software's back. This does not.

There is a screen listing every action it has taken and whether it changed anything. Bring your own key from Anthropic, OpenAI, Google or DeepSeek, or switch AI off and use none of it.

Sage, Xero and Zoho Books.

Sage Business Cloud Accounting Xero Zoho Books

Connect your accounting package and we pull your tax rates, your customers and your items out of your own books. The system then speaks your chart of accounts instead of a generic one.

Your catalogue gets matched against the items already in there and you confirm the matches. We do not push our list into your books. One business we have spoken to already has about 5,900 items sitting in Xero, and nobody wants a second set next to it.

A finalised invoice goes across on its own, and sending it again updates the same document instead of creating a duplicate.

We never work out your VAT ourselves. We send the line, let your accounting package calculate the tax, then read the document back and check it saved what we sent. If the tax type or the item is different, it fails loudly instead of telling you it worked.

We built that after Sage accepted an invoice, replied with a success, and quietly stored a zero VAT rate. Every attempt is logged with the real error message when something goes wrong.

Your number, your account, your customers.

The number is yours

You connect your own WhatsApp Business number and you can disconnect it. It stays registered to your business.

The messages are yours

Anything sent to your number arrives in your account, and only the people you have given a login can open it.

Nothing is shared between businesses

Every business using CRM Sorted has its own separate account and its own data. We do not share or combine data between our customers. One business cannot see another's contacts, conversations, quotes or invoices.

AI is optional and the key is yours

Bring your own key from Anthropic, OpenAI, Google or DeepSeek. Keys are stored encrypted and only the last four digits are ever shown back. Turn AI off entirely and the job statuses, timers, quoting, invoicing and paperwork all still work, because none of them need it.

The assistant cannot read your business

The assistant that answers your customers has four things it is allowed to do: look up the details of the person messaging, save those details, take a booking request, and hand the conversation to a person. It has no tool for your customer list, your prices or your invoices. That is a design decision, not a promise about how we worded its instructions.

You can see everything the AI did

When the assistant creates or changes something, it goes through the same permission checks and the same audit log as a person clicking the button. There is a screen listing every action it has taken and whether it changed any data.

What we are building next.

None of this is in the product today
Service and maintenance reminders

With your customer's permission, CRM Sorted will message them when equipment you installed is due for a service. A geyser, a gate motor, an inverter. It will run on Meta's approved utility message templates, and a customer will be able to stop the reminders at any time.

Electrical, plumbing, security. Three to fifteen staff.

If you are quoting from your bakkie at nine at night, if half of a job's history lives in a WhatsApp thread, and if the honest answer to "did we ever invoice that one" is a shrug, this was built for the way you already work.

There is nothing to install. It runs in a browser, and your staff use it from WhatsApp without opening anything at all. Setting it up is a conversation, not a two day project.

Have a look at it before you decide

Tell us what your business does and we will show you the system running with your kind of work on the screen. If it does not fit, we will say so.

CRM Sorted is built and supported by AI Sorted (Pty) Ltd in Johannesburg. You will be talking to the people who wrote it, not to a call centre.
